Your privacy is important to Mileage Book A/S. We have created this Privacy Policy to inform you about how we collect, use, disclose, transfer and store your personal information.

1. PERSONAL INFORMATION

"Personal information" is information about your personal identity. When you create an account on mileagebook.com, we collect various personal information which, depending on the type of subscription, may include your name, postal address, phone number and email address. For businesses, we also collect company name, company registration number and contact person information. We may use your personal data for the following purposes:

1.1 Communication

  1. When you purchase a subscription, we will send you a receipt for the purchase immediately after payment. Payment through Apple is exempt from this.
  2. When a subscription expires, we will send an email informing you that your subscription will be renewed. Payment through Apple is exempt from this.
  3. When creating an account, we may send emails explaining the functionality of the different subscriptions.
  4. When creating an account and using our services, we may make calls as part of quality assurance of our product and optimization of our customer and product service.
  5. In case of major updates to Mileage Book, we may send emails containing offers and/or descriptions of the changes.
  6. In case of changes in terms and conditions, personal data policy or other policies at Mileage Book A/S, we may send an email to draw attention to these.

1.2 Customer service

When you communicate with our customer service representatives via email, phone or in person, we may collect personal information relevant to the situation, such as your name, postal address, phone number, email address, company name and company registration number, and information about support or service needs. We use this information to provide you with customer and product service.

1.3 Purchase

  1. When purchasing a subscription or a Mileage Book product from Mileage Book A/S, payment is made via the payment solution Nets Easy which stores payment card information. Payment by credit card via Nets Easy is made via a Nets approved and PCI-certified payment solution.
  2. The Nets Easy payment solution uses SSL encryption in communication with Nets. Likewise, SSL encryption is used in the communication between the customers and the server where Nets Easy is located. This means that all information sent over the internet is encrypted with a security certificate. This means that it is not possible for unauthorized persons to intercept information about your credit card.

1.4 Companies

  1. Company name is used to communicate personally with the company.
  2. CVR number is used in some countries to receive our service without having to pay VAT.
  3. Information on the contact person in the company is used for communication, see section 1.1.
  4. Company name and company address can also be used on exported reports.

 

2. DATA

The Mileage Book app collects GPS coordinates in the background when the user has started a trip. In addition, Mileage Book collects general, non-personally identifiable data such as date, time and car mileage.

 

2.1 Data types and purpose

GPS coordinates

Collected in the background when the user has started a trip in the app.

  • For start and end position, the app uses internet services to find the start and end address.
  • GPS points are stored on our servers and allow you to draw the traveled route on a map and mark visited addresses on a map.
  • The GPS coordinates are used to calculate the distance of the traveled route.

Date and time

  • The date and time are used to document the traveled route.
  • Date and time are used for sorting trip data.
  • When exporting data, both the app and website provide an option to export a given period.

Vehicle mileage

  • The car mileage is used to document the trip driven.

Access to images on the phone

  • Access to images is used to select to link an image of a receipt to an expense report.

2.2 Accessing and collecting data

Access to GPS data and phone images is only granted with the prior consent of the user. This is initially done by accepting Mileage Book's subscription terms when creating an account. When using the app, the user must again actively confirm Mileage Book's access to and collection of location data and the use of the camera.

2.3 Sharing of data

Mileage Book A/S does not share data with third parties, with the exception of the Sub-Processors Mileage Book A/S uses to operate Mileage Book.

2.4 Limitation of data in relation to reason and use

The collection and use of GPS data and access to phone images is a prerequisite for the primary functions of the app - namely to register mileage data based on continuously collected GPS coordinates and to register expenses in the system based on photographed receipts.

The processing of data is exclusively limited to this purpose and is therefore never used in other contexts.

2.5 Encryption of data

All information collected via the Mileage Book website and app is stored on Mileage Book servers hosted by Microsoft Azure. Communication between Mileage Book site and server, as well as communication between Mileage Book app and server is done via a secure SSL encrypted connection.

 

3 RIGHTS

When we process information about you, you have a number of rights towards Mileage Book.

3.1 Right of access

You have the right to see the personal data Mileage Book processes about you and receive a number of information about the processing.

In addition, you have the right to receive information about how Mileage Book processes your personal data. Among other things

  • what is the purpose of the processing
  • who Mileage Book shares your personal data with
  • information about the period for which your personal data is stored
  • where your personal data originates from

You can at any time log in to Mileage Book's platform to view, correct and update the entered information we store about you.

Alternatively, you can contact Mileage Books support at support@mileagebook.com which will give you insight into a number of information about the personal data we process about you.

3.2 Right to rectification

You have the right to have incorrect personal data about you corrected. You also have the right to have Mileage Book complete incomplete personal data about you.

If you and Mileage Book disagree about whether the personal data is incorrect, Mileage Book must note that you believe that information about you is incorrect. Mileage Book is also obliged to notify those to whom it may have disclosed the incorrect or incomplete personal data.

You can at any time log in to Mileage Book's platform to view, correct and update the entered information we store about you.

Alternatively, you can contact Mileage Books support at support@mileagebook.com. Our support department can help you with how to edit and update your personal data.

3.3 Right to erasure

You generally have the right to have Mileage Book delete your personal data if one of a number of conditions mentioned in the General Data Protection Regulation is met.

The conditions for deletion can be, among other things:

  • Mileage Book's purpose for processing your personal data is no longer relevant

  • Mileage Book processes your personal data solely on the basis of a consent that you have now withdrawn.

  • The processing of your personal data is unlawful.

If Mileage Book is obliged to delete your personal data, we are also obliged to notify third parties to whom your data has been disclosed.

You always have access to delete your data. Mileage Book will retain your personal data for 3 months after the end of the subscription - unless we deem it necessary to keep it longer for accounting or legal reasons.

If you have a FREE account, we will delete your account including your personal data after 12 months of inactivity.

3.4 Right to restriction of processing

You have the right to restrict the processing of your personal data if one of a number of conditions are met.

The conditions are, among others:

  • You do not believe that the personal data Mileage Book is processing about you is accurate.

  • You believe that Mileage Book is processing your data, but you do not want it deleted. Instead, you request restricted processing.

  • You have used your right to object to Mileage Book's processing of your personal data.

You control any restriction of Mileage Book's processing of your personal data, as you are in control of all user rights.

3.5 Right to data portability

Firstly, you have the right to receive the personal data about you that you have provided to Mileage Book. The personal data must be sent to you in a readable format.

You also have the right to request that your personal data is transferred from Mileage Book to another data controller if technically feasible and if two conditions are met:

The processing of your data is automatic and based on your consent or is necessary to fulfill a contract.

You have provided the data Mileage Book processes.

You can at any time export all your registered trips and mileage records stored in Mileage Book's system.

3.6 Right to object

Even if a processing of your personal data is lawful, you have the right to object to it.

When Mileage Book receives your objection, we will consider whether your objection is justified. It may, for example, be that you provide "compelling reasons" against the processing of your personal data. In such cases, Mileage Book must reconsider whether the processing of your data is necessary.

3.7 Right not to be subject to an automated decision

You have the right not to be subject to an automated decision based solely on automated processing, including profiling.

An automated processing or decision means that there is no natural person involved.

You have the right that decisions that have a significant impact on you (e.g. legal effect) are not based solely on automated processing.

 

4. DATA PROCESSING AGREEMENT

The General Data Protection Regulation (GDPR) requires that there must be a data processing agreement between your company and Mileage Book. Your company is the data controller in relation to the personal data that we process on your company's behalf. The data processing agreement is an instruction to us on how to process your personal data and that of other customers and partners. See our data processing agreement.

A cookie is a small text file that is stored on your computer or equivalent in order to recognize it. There is no personal information stored in our cookies and they cannot contain viruses. See our cookie policy.
