1. PERSOONLIJKE INFORMATIE
"Persoonlijke informatie" is informatie over uw persoonlijke identiteit. Wanneer u een account aanmaakt op mileagebook.com, verzamelen we verschillende persoonlijke gegevens die, afhankelijk van het type abonnement, uw naam, postadres, telefoonnummer en e-mailadres kunnen bevatten. Voor bedrijven verzamelen we ook de bedrijfsnaam, het registratienummer van het bedrijf en informatie over de contactpersoon. We kunnen uw persoonlijke gegevens voor de volgende doeleinden gebruiken:
1.1 Communicatie
- Bij aankoop van een abonnement sturen we je direct na betaling een betalingsbewijs voor de aankoop. Betaling via Apple is hiervan uitgezonderd.
- Wanneer een abonnement verloopt, sturen wij u een e-mail om u te informeren dat uw abonnement wordt verlengd. Betaling via Apple is hiervan uitgezonderd.
- Bij het aanmaken van een account kunnen we e-mails sturen waarin de functionaliteit van de verschillende abonnementen wordt uitgelegd.
- Bij het aanmaken van een account en het gebruik van onze diensten kunnen we gesprekken voeren als onderdeel van de kwaliteitsborging van ons product en de optimalisatie van onze klant- en productservice.
- In het geval van belangrijke updates van Mileage Book, kunnen we e-mails sturen met aanbiedingen en/of beschrijvingen van de wijzigingen.
- In het geval van wijzigingen in de algemene voorwaarden, persoonlijke gegevens beleid of ander beleid bij Mileage Book A/S, kunnen we een e-mail sturen om de aandacht hierop te vestigen.
1.2 Klantenservice
Wanneer u communiceert met onze klantenservicemedewerkers via e-mail, telefoon of persoonlijk, kunnen we persoonlijke informatie verzamelen die relevant is voor de situatie, zoals uw naam, postadres, telefoonnummer, e-mailadres, bedrijfsnaam en bedrijfsregistratienummer, en informatie over ondersteuning of servicebehoeften. We gebruiken deze informatie om u klant- en productservice te bieden.
1.3 Aankoop
- Bij aankoop van een abonnement of een Mileage Book product van Mileage Book A/S, vindt betaling plaats via de betaaloplossing Nets Easy, waarin betaalkaartgegevens worden opgeslagen. Betaling met een creditcard via Nets Easy vindt plaats via een door Nets goedgekeurde en PCI-gecertificeerde betalingsoplossing.
- De betaaloplossing Nets Easy gebruikt SSL-encryptie in de communicatie met Nets. Op dezelfde manier wordt SSL-encryptie gebruikt in de communicatie tussen de klanten en de server waar Nets Easy zich bevindt. Dit betekent dat alle informatie die over het internet wordt verzonden, wordt versleuteld met een beveiligingscertificaat. Dit betekent dat het voor onbevoegden niet mogelijk is om informatie over uw creditcard te onderscheppen.
1.4 Bedrijven
- Bedrijfsnaam wordt gebruikt om persoonlijk met het bedrijf te communiceren.
- CVR-nummer wordt in sommige landen gebruikt om onze service te ontvangen zonder BTW te hoeven betalen.
- Informatie over de contactpersoon binnen het bedrijf wordt gebruikt voor communicatie, zie sectie 1.1.
- Bedrijfsnaam en bedrijfsadres kunnen ook worden gebruikt op geëxporteerde rapporten.
2. GEGEVENS
De Mileage Book app verzamelt GPS-coördinaten op de achtergrond wanneer de gebruiker een rit is begonnen. Daarnaast verzamelt Kilometerboek algemene, niet-persoonlijk identificeerbare gegevens zoals datum, tijd en afgelegde autokilometers.
2.1 Soorten gegevens en doel
GPS-coördinaten
Op de achtergrond verzameld wanneer de gebruiker een rit is begonnen in de app.
- Voor de begin- en eindpositie gebruikt de app internetdiensten om het begin- en eindadres te vinden.
- GPS-punten worden opgeslagen op onze servers en maken het mogelijk om de afgelegde route op een kaart te tekenen en bezochte adressen op een kaart te markeren.
- De GPS-coördinaten worden gebruikt om de afstand van de afgelegde route te berekenen.
Datum en tijd
- De datum en tijd worden gebruikt om de afgelegde route te documenteren.
- Datum en tijd worden gebruikt om ritgegevens te sorteren.
- Bij het exporteren van gegevens bieden zowel de app als de website een optie om een bepaalde periode te exporteren.
Kilometerstand auto
- De kilometerstand van de auto wordt gebruikt om de gereden rit te documenteren.
Toegang tot afbeeldingen op de telefoon
- Toegang tot afbeeldingen wordt gebruikt om een afbeelding van een bonnetje te koppelen aan een onkostennota.
2.2 Gegevens openen en verzamelen
Toegang tot GPS-gegevens en afbeeldingen op de telefoon wordt alleen verleend met voorafgaande toestemming van de gebruiker. Dit gebeurt in eerste instantie door het accepteren van de abonnementsvoorwaarden van Mileage Book bij het aanmaken van een account. Bij het gebruik van de app moet de gebruiker opnieuw actief bevestigen dat Mileage Book toegang heeft tot locatiegegevens en deze verzamelt en dat de camera wordt gebruikt.
2.3 Delen van gegevens
Mileage Book A/S deelt geen gegevens met derden, met uitzondering van de Subverwerkers die Mileage Book A/S gebruikt om Mileage Book te exploiteren.
2.4 Beperking van gegevens met betrekking tot reden en gebruik
Het verzamelen en gebruiken van GPS-gegevens en toegang tot telefoonfoto's is een voorwaarde voor de primaire functies van de app - namelijk het registreren van kilometerstanden op basis van continu verzamelde GPS-coördinaten en het registreren van uitgaven in het systeem op basis van gefotografeerde bonnetjes.
De verwerking van gegevens is uitsluitend beperkt tot dit doel en wordt daarom nooit in andere contexten gebruikt.
2.5 Codering van gegevens
Alle informatie verzameld via de Mileage Book website en app wordt opgeslagen op Mileage Book servers gehost door Microsoft Azure. Communicatie tussen Mileage Book website en server, evenals communicatie tussen Mileage Book app en server vindt plaats via een beveiligde SSL versleutelde verbinding.
3 RECHTEN
Wanneer wij informatie over u verwerken, heeft u een aantal rechten ten opzichte van Mileage Book.
3.1 Recht op toegang
U heeft het recht om de persoonsgegevens die Mileage Book van u verwerkt in te zien en een aantal informatie over de verwerking te ontvangen.
Daarnaast heeft u het recht om informatie te ontvangen over de wijze waarop Mileage Book uw persoonsgegevens verwerkt. Onder andere
- wat het doel is van de verwerking
- met wie Mileage Book uw persoonsgegevens deelt
- informatie over de periode waarin uw persoonsgegevens worden opgeslagen
- waar uw persoonsgegevens vandaan komen
U kunt te allen tijde inloggen op het platform van Mileage Book om de ingevoerde informatie die wij over u opslaan te bekijken, corrigeren en bij te werken.
U kunt ook contact opnemen met Mileage Books support via support@mileagebook.com die u inzicht zal geven in een aantal gegevens over de persoonlijke gegevens die wij over u verwerken.
3.2 Recht op rectificatie
U heeft het recht om onjuiste persoonsgegevens over u te laten corrigeren. Ook heeft u het recht om Mileage Book onvolledige persoonsgegevens over u te laten aanvullen.
Als u en Mileage Book het niet eens zijn over de vraag of de persoonsgegevens onjuist zijn, moet Mileage Book aantekenen dat u van mening bent dat de informatie over u onjuist is. Mileage Book is ook verplicht om degenen aan wie zij de onjuiste of onvolledige persoonsgegevens heeft verstrekt, hiervan op de hoogte te stellen.
U kunt te allen tijde inloggen op het platform van Mileage Book om de ingevoerde informatie die wij over u opslaan te bekijken, corrigeren en bij te werken.
U kunt ook contact opnemen met Mileage Books support op support@mileagebook.com. Onze supportafdeling kan u helpen met het bewerken en bijwerken van uw persoonlijke gegevens.
3.3 Recht op wissen
U heeft in het algemeen het recht om Mileage Book uw persoonlijke gegevens te laten wissen indien aan één van een aantal voorwaarden genoemd in de Algemene Verordening Gegevensbescherming is voldaan.
De voorwaarden voor verwijdering kunnen onder andere zijn:

Het doel van Mileage Book voor de verwerking van uw persoonsgegevens is niet langer relevant
-
Kilometerboek verwerkt uw persoonsgegevens uitsluitend op basis van een toestemming die u inmiddels heeft ingetrokken.

De verwerking van uw persoonsgegevens is onrechtmatig.
Als Mileage Book verplicht is om uw persoonsgegevens te verwijderen, zijn wij ook verplicht om derden aan wie uw gegevens zijn verstrekt daarvan op de hoogte te stellen.
U heeft altijd toegang tot het verwijderen van uw gegevens. Mileage Book bewaart uw persoonsgegevens tot 3 maanden na het einde van het abonnement - tenzij wij het noodzakelijk achten deze langer te bewaren om boekhoudkundige of juridische redenen.
Als u een GRATIS account heeft, verwijderen we uw account inclusief uw persoonlijke gegevens na 12 maanden van inactiviteit.
3.4 Recht op beperking van de verwerking
U hebt het recht om de verwerking van uw persoonsgegevens te beperken als aan een aantal voorwaarden is voldaan.
De voorwaarden zijn onder andere

U bent van mening dat de persoonsgegevens die Mileage Book over u verwerkt niet juist zijn.

U bent van mening dat Mileage Book uw gegevens verwerkt, maar u wilt niet dat deze verwijderd worden. In plaats daarvan verzoekt u om beperkte verwerking.

U heeft gebruik gemaakt van uw recht om bezwaar te maken tegen de verwerking van uw persoonsgegevens door Mileage Book.
U heeft controle over elke beperking van de verwerking van uw persoonsgegevens door Mileage Book, aangezien u de controle heeft over alle gebruikersrechten.
3.5 Recht op gegevensoverdraagbaarheid
Ten eerste heeft u het recht om de persoonlijke gegevens over u te ontvangen die u aan Mileage Book heeft verstrekt. De persoonlijke gegevens moeten u in een leesbaar formaat worden toegestuurd.
Daarnaast heeft u het recht om te verzoeken dat uw persoonsgegevens worden overgedragen van Mileage Book naar een andere verwerkingsverantwoordelijke indien dit technisch haalbaar is en indien aan twee voorwaarden is voldaan:
De verwerking van uw gegevens gebeurt automatisch en is gebaseerd op uw toestemming of is noodzakelijk om een contract uit te voeren.
U heeft de gegevens verstrekt die Mileage Book verwerkt.
U kunt op elk moment al uw geregistreerde reizen en kilometerstanden exporteren die zijn opgeslagen in het systeem van Mileage Book.
3.6 Recht op bezwaar
Zelfs als een verwerking van uw persoonsgegevens rechtmatig is, heeft u het recht hier bezwaar tegen te maken.
Wanneer Mileage Book uw bezwaar ontvangt, zullen wij overwegen of uw bezwaar gerechtvaardigd is. Het kan bijvoorbeeld zijn dat u "dwingende redenen" aanvoert tegen de verwerking van uw persoonsgegevens. In dergelijke gevallen moet Mileage Book heroverwegen of de verwerking van uw gegevens noodzakelijk is.
3.7 Recht om niet te worden onderworpen aan een geautomatiseerd besluit
U heeft het recht om niet te worden onderworpen aan een geautomatiseerde beslissing die uitsluitend is gebaseerd op geautomatiseerde verwerking, met inbegrip van profilering.
Een geautomatiseerde verwerking of beslissing betekent dat er geen natuurlijke persoon bij betrokken is.
Je hebt het recht dat besluiten die significante gevolgen voor je hebben (bijvoorbeeld rechtsgevolgen) niet uitsluitend gebaseerd zijn op geautomatiseerde verwerking.
4. OVEREENKOMST GEGEVENSVERWERKING
De General Data Protection Regulation (GDPR) vereist dat er een gegevensverwerkingsovereenkomst moet zijn tussen uw bedrijf en Mileage Book. Uw bedrijf is de gegevensbeheerder met betrekking tot de persoonsgegevens die wij namens uw bedrijf verwerken. De gegevensverwerkingsovereenkomst is een instructie aan ons over hoe we uw persoonlijke gegevens en die van andere klanten en partners moeten verwerken. Zie onze gegevensverwerkingsovereenkomst.
5 COOKIES
Een cookie is een klein tekstbestand dat wordt opgeslagen op uw computer of equivalent om deze te herkennen. Er wordt geen persoonlijke informatie opgeslagen in onze cookies en ze kunnen geen virussen bevatten. Zie ons cookiebeleid.

1. PERSONAL INFORMATION
"Personal information" is information about your personal identity. When you create an account on mileagebook.com, we collect various personal information which, depending on the type of subscription, may include your name, postal address, phone number and email address. For businesses, we also collect company name, company registration number and contact person information. We may use your personal data for the following purposes:
1.1 Communication
- When you purchase a subscription, we will send you a receipt for the purchase immediately after payment. Payment through Apple is exempt from this.
- When a subscription expires, we will send an email informing you that your subscription will be renewed. Payment through Apple is exempt from this.
- When creating an account, we may send emails explaining the functionality of the different subscriptions.
- When creating an account and using our services, we may make calls as part of quality assurance of our product and optimization of our customer and product service.
- In case of major updates to Mileage Book, we may send emails containing offers and/or descriptions of the changes.
- In case of changes in terms and conditions, personal data policy or other policies at Mileage Book A/S, we may send an email to draw attention to these.
1.2 Customer service
When you communicate with our customer service representatives via email, phone or in person, we may collect personal information relevant to the situation, such as your name, postal address, phone number, email address, company name and company registration number, and information about support or service needs. We use this information to provide you with customer and product service.
1.3 Purchase
- When purchasing a subscription or a Mileage Book product from Mileage Book A/S, payment is made via the payment solution Nets Easy which stores payment card information. Payment by credit card via Nets Easy is made via a Nets approved and PCI-certified payment solution.
- The Nets Easy payment solution uses SSL encryption in communication with Nets. Likewise, SSL encryption is used in the communication between the customers and the server where Nets Easy is located. This means that all information sent over the internet is encrypted with a security certificate. This means that it is not possible for unauthorized persons to intercept information about your credit card.
1.4 Companies
- Company name is used to communicate personally with the company.
- CVR number is used in some countries to receive our service without having to pay VAT.
- Information on the contact person in the company is used for communication, see section 1.1.
- Company name and company address can also be used on exported reports.
2. DATA
The Mileage Book app collects GPS coordinates in the background when the user has started a trip. In addition, Mileage Book collects general, non-personally identifiable data such as date, time and car mileage.
2.1 Data types and purpose
GPS coordinates
Collected in the background when the user has started a trip in the app.
- For start and end position, the app uses internet services to find the start and end address.
- GPS points are stored on our servers and allow you to draw the traveled route on a map and mark visited addresses on a map.
- The GPS coordinates are used to calculate the distance of the traveled route.
Date and time
- The date and time are used to document the traveled route.
- Date and time are used for sorting trip data.
- When exporting data, both the app and website provide an option to export a given period.
Vehicle mileage
- The car mileage is used to document the trip driven.
Access to images on the phone
- Access to images is used to select to link an image of a receipt to an expense report.
2.2 Accessing and collecting data
Access to GPS data and phone images is only granted with the prior consent of the user. This is initially done by accepting Mileage Book's subscription terms when creating an account. When using the app, the user must again actively confirm Mileage Book's access to and collection of location data and the use of the camera.
2.3 Sharing of data
Mileage Book A/S does not share data with third parties, with the exception of the Sub-Processors Mileage Book A/S uses to operate Mileage Book.
2.4 Limitation of data in relation to reason and use
The collection and use of GPS data and access to phone images is a prerequisite for the primary functions of the app - namely to register mileage data based on continuously collected GPS coordinates and to register expenses in the system based on photographed receipts.
The processing of data is exclusively limited to this purpose and is therefore never used in other contexts.
2.5 Encryption of data
All information collected via the Mileage Book website and app is stored on Mileage Book servers hosted by Microsoft Azure. Communication between Mileage Book site and server, as well as communication between Mileage Book app and server is done via a secure SSL encrypted connection.
3 RIGHTS
When we process information about you, you have a number of rights towards Mileage Book.
3.1 Right of access
You have the right to see the personal data Mileage Book processes about you and receive a number of information about the processing.
In addition, you have the right to receive information about how Mileage Book processes your personal data. Among other things
- what is the purpose of the processing
- who Mileage Book shares your personal data with
- information about the period for which your personal data is stored
- where your personal data originates from
You can at any time log in to Mileage Book's platform to view, correct and update the entered information we store about you.
Alternatively, you can contact Mileage Books support at support@mileagebook.com which will give you insight into a number of information about the personal data we process about you.
3.2 Right to rectification
You have the right to have incorrect personal data about you corrected. You also have the right to have Mileage Book complete incomplete personal data about you.
If you and Mileage Book disagree about whether the personal data is incorrect, Mileage Book must note that you believe that information about you is incorrect. Mileage Book is also obliged to notify those to whom it may have disclosed the incorrect or incomplete personal data.
You can at any time log in to Mileage Book's platform to view, correct and update the entered information we store about you.
Alternatively, you can contact Mileage Books support at support@mileagebook.com. Our support department can help you with how to edit and update your personal data.
3.3 Right to erasure
You generally have the right to have Mileage Book delete your personal data if one of a number of conditions mentioned in the General Data Protection Regulation is met.
The conditions for deletion can be, among other things:

Mileage Book's purpose for processing your personal data is no longer relevant

Mileage Book processes your personal data solely on the basis of a consent that you have now withdrawn.

The processing of your personal data is unlawful.
If Mileage Book is obliged to delete your personal data, we are also obliged to notify third parties to whom your data has been disclosed.
You always have access to delete your data. Mileage Book will retain your personal data for 3 months after the end of the subscription - unless we deem it necessary to keep it longer for accounting or legal reasons.
If you have a FREE account, we will delete your account including your personal data after 12 months of inactivity.
3.4 Right to restriction of processing
You have the right to restrict the processing of your personal data if one of a number of conditions are met.
The conditions are, among others:

You do not believe that the personal data Mileage Book is processing about you is accurate.

You believe that Mileage Book is processing your data, but you do not want it deleted. Instead, you request restricted processing.

You have used your right to object to Mileage Book's processing of your personal data.
You control any restriction of Mileage Book's processing of your personal data, as you are in control of all user rights.
3.5 Right to data portability
Firstly, you have the right to receive the personal data about you that you have provided to Mileage Book. The personal data must be sent to you in a readable format.
You also have the right to request that your personal data is transferred from Mileage Book to another data controller if technically feasible and if two conditions are met:
The processing of your data is automatic and based on your consent or is necessary to fulfill a contract.
You have provided the data Mileage Book processes.
You can at any time export all your registered trips and mileage records stored in Mileage Book's system.
3.6 Right to object
Even if a processing of your personal data is lawful, you have the right to object to it.
When Mileage Book receives your objection, we will consider whether your objection is justified. It may, for example, be that you provide "compelling reasons" against the processing of your personal data. In such cases, Mileage Book must reconsider whether the processing of your data is necessary.
3.7 Right not to be subject to an automated decision
You have the right not to be subject to an automated decision based solely on automated processing, including profiling.
An automated processing or decision means that there is no natural person involved.
You have the right that decisions that have a significant impact on you (e.g. legal effect) are not based solely on automated processing.
4. DATA PROCESSING AGREEMENT
The General Data Protection Regulation (GDPR) requires that there must be a data processing agreement between your company and Mileage Book. Your company is the data controller in relation to the personal data that we process on your company's behalf. The data processing agreement is an instruction to us on how to process your personal data and that of other customers and partners. See our data processing agreement.
5 COOKIES
A cookie is a small text file that is stored on your computer or equivalent in order to recognize it. There is no personal information stored in our cookies and they cannot contain viruses. See our cookie policy.
